Portco user experience: Submitting data collection workflows (standard)

 

Overview

This guide helps Portco users understand how to navigate the Data Collection tab in the portal. You'll learn how to view workflow statuses, complete or resubmit workflows, leave comments, and share workflows with collaborators.


Accessing the Data Collection Tab

  • Click on Data Collection from the navigation menu or sidebar.

  • You will be directed to the Data Collection landing page, which contains workflow status cards and a detailed workflow table.


Workflow Status Cards

At the top of the page, you’ll see four cards summarizing the status of your workflows:

Card Description
1. In Progress Workflows that have been opened but not yet submitted. These may be partially filled or fully filled but not yet submitted.
2. Overdue & Resubmission Requests

Includes:

  • Workflows past their due date

  • Workflows that have been submitted but were marked for resubmission by the client or fund manager 

3. Submitted

Workflows that have been submitted but not yet reviewed or approved.

4. Approved

Workflows that have been fully reviewed and approved by the fund manager.

 

Workflow Table

Scroll down to view the workflow table, which provides:

  • Workflow Name

  • Progress (% Completed)

  • Status (In Progress, Submitted, etc.)

  • Assigned Asset

  • Reporting Period

  • Start & Due Dates

By default, the table is filtered to show only workflows that still require action. You can remove these filters to view all workflows, including those already completed.


Opening and Completing a Workflow

To open a workflow:

  1. Click on the workflow row in the table.

  2. The system will take you to the detailed view where you can:

    • Enter KPI data manually

    • Or download an Excel template, fill it offline, and upload it back into the system

You’ll see your uploaded entries appear automatically once the file is processed.


Resubmission Requests & Comments

  • If a workflow has been rejected or marked for resubmission, you will see this under the Overdue & Resubmission card.

  • Click View Comments from Approver to understand why the workflow was returned.

  • After addressing the feedback, you can re-submit the workflow.


Submission Guidelines

  • Once ready, click Submit to send your workflow to the client.

  • You do not need to complete 100% of a workflow to submit it—partial submissions are allowed.


Sharing a Workflow

You can share a workflow with others (e.g., colleagues or collaborators):

  1. Click the Share button.

  2. Enter the email address of the person you want to share it with.

  3. Click Send Email.

They will receive an email with access to the workflow.


Adding Comments

You can also leave comments on individual KPI entries:

  1. Hover over a specific data point.

  2. Click Add Comment.

  3. Type your note and click Submit.

These comments will be visible to the approver once the workflow is submitted.
